Reports
Reports are how you present and explore the data in a table. Every new table ships with a "List All" report, and you can build many more, from simple record grids to charts, calendars, maps, and kanban boards. Build a report here, configure what it shows, and control who can see it.
This guide covers building reports as an admin. End users can also create personal reports for themselves; see Using reports below.
Where reports live
Reports are managed per table. Open a table's Settings and look under the User Interface panel, then click Reports to see the list of reports on that table. From here you can view, edit, and duplicate reports, or click Add Report to build a new one.
The record grid you see on a table's dashboard is itself a report, usually the auto-created "List All" report embedded on the Default Dashboard. Reports with Display on Menu enabled also appear in the application's left navigation.
Report types
High Systems offers eight report types:
| Type | What it shows |
|---|---|
| Table | A sortable, filterable grid of records: the classic report |
| Summary | Aggregated totals (count, sum, average, and more) grouped by a field |
| Chart | Bar, line, pie, funnel, and scatter visualizations of your data |
| Kanban | Records as cards arranged in columns based on a choice field |
| Calendar | Records placed on a calendar by date fields |
| Map | Records plotted on a map using GPS fields |
| Image Gallery | A gallery of records based on a file field |
| Many-to-Many | Linked records across two related tables |
Building a report
Click Add Report (or the pencil on an existing report) to open the report builder. The builder is organised into collapsible sections:
Basics
Every report starts with a Report Name (required), a Description, and its Type. Two important settings here:
- Display on Menu: adds the report to the application's navigation.
- Visibility: who can see the report: Only Me (a personal report), Everyone, or Specific Roles. Admins and users with the Create Common Reports permission can share reports; other users can only create personal reports.
Control Bar
The control bar is the toolbar users see above the report at runtime. You choose which capabilities to enable:
- Display Control Bar: show the toolbar at all.
- Enable Edit Mode: let users edit records inline in the grid (with Enable Add and Enable Delete to allow creating and removing records from the report).
- Enable Text Search: the free-text search box.
- Enable Query Builder: the Report Filters popover, where users build their own filters.
- Enable Facets: clickable facet filters for up to five columns.
- Enable Export Data and Enable Export Files: CSV and file-download options.
- Search Type: Like or Lexeme matching (defaults to the table's setting).
Report-specific sections
Depending on the type you chose, the builder shows the relevant section:
- Table: pick and order Columns (with per-column labels and widths), build a Query to filter which records appear, set Sorting, and toggle Display Totals, Display Averages, and Collapse Groups.
- Summary: choose what to Summarize (count, sum, average, standard deviation, min, or max of a field) and how to Group the results.
- Chart: pick a chart type (bar, stacked bar, line variants, pie, funnel, scatter), configure the X Axis and Y Axis, and optionally set a Details Report so clicking a chart segment drills down into the underlying records.
- Kanban: choose which choice field defines the columns, plus details, query, and sorting.
- Calendar: pick the start and end date fields and an optional all-day checkbox.
- Map: choose a GPS field and which details to show on each pin.
- Image Gallery: choose the file field and caption fields.
- Many-to-Many: configure the child and lookup tables that link records across two tables.
Advanced
Table, Kanban, Calendar, and Map reports also have an Advanced section:
- Display Edit / Display View: show edit and view buttons on each record, with a choice of which Edit Form and View Form to use (role default, table default, or a specific form).
- Color Coding: a formula that returns a color per row, for highlighting records in the grid or kanban.
Click Save to return to the Reports list.
Using reports
Run a report by clicking its eye icon in the Reports list, opening it from the menu, or clicking Full Report from a report embedded on a dashboard. The control bar at the top (if enabled) gives users:
- A search box for quick text matching.
- The Report Filters popover (funnel icon): facet filters for quick value picking, and a Query Builder tab for nested AND/OR conditions on any field. Click Apply Query to run it.
- A record counter showing the current page of results.
- The Report Options menu: Full Report, Show/Hide Columns, Export Data (CSV), Export Files (ZIP), Refresh Report, Copy Query String, and Customize Report (a shortcut to the report's settings for admins).
Pagination size is a per-user preference, not a report setting. Each user can choose their default records per page under User Profile → Preferences.
Personal reports
Users don't need admin access to build reports for themselves. From the global search (Ctrl/⌘ + K) → Reports tab, or from Advanced Search with Save as Report, any user can create a personal report pre-filled with their current columns, filters, and sorting. Personal reports are visible only to their owner and appear in the global search's Personal tab; they don't appear in the Table Settings reports list.
Reports on dashboards
Reports come to life on dashboards. When editing a dashboard (Table Settings → Dashboards), search for a report and drag it onto the canvas; each report can appear once per dashboard. In view mode, a report widget includes a Full Report link that opens the standalone report with the current query.
Duplicating a report
To duplicate a report, click the duplicate icon in the Reports list. The copy is named "Copy of" followed by the original name and is owned by you; open it in the builder to rename or adjust it.
Deleting a report
To delete a report, open it in the builder and click Delete. You'll need to type delete report to confirm, then you'll be returned to the Reports list.
Deleting a report removes the report itself: records and table data are not affected. If the report was embedded on a dashboard, that widget will be removed too.
What's next?
Reports read the fields you configure on the table, and dashboards are where they end up at runtime:
Everything in this guide can also be done through the High Systems REST API. See the Reports endpoint reference for details.
