Forms

Forms are how users interact with records in High Systems: they define the layout and fields shown when adding, editing, or viewing a record. Every table comes with a default form, and you can build additional forms to fit different workflows. The form builder, its rules, and the record screens users work with are covered below.

Where forms live

Forms are managed per table. Open a table's Settings and look under the User Interface panel, then click Forms to see the list of forms on that table. From here you can view, edit, and duplicate forms, or click Add Form to build a new one.

Forms with Display on Menu enabled also appear in the application's left navigation, so users can open them directly.

Building a form

Click Add Form (or the pencil on an existing form) to open the form builder. The builder has three tabs: Form (the layout canvas), Rules (conditional logic), and Properties (form-level settings).

Laying out the form

The Form tab shows a drag-and-drop canvas. On the right-hand sidebar you'll find:

  • Fields: every field on the table, ready to drag onto the canvas. Fields already used on the form are greyed out; each field can appear only once. You can also click New Field or Add Fields to create new table fields without leaving the builder.
  • Widgets: building blocks you can drag onto the canvas alongside fields:
    • Section: a titled group of fields with a configurable number of columns (12, 10, 8, 6, 4, or 2). Sections can be displayed as panels and are collapsible for users.
    • Tabs: a tabbed container. Each tab has its own heading, column layout, and display settings, and you can add, reorder, or remove tabs.
    • Separator: a visual divider between parts of the form.
    • Rich Text: a block of formatted content, useful for instructions or help text displayed on the form itself.

Every widget and field on the canvas can be resized by dragging its edges, and every one has its own settings (click the customize/gear action):

  • Fields (inputs) have a Custom Label, Display Label, and toggles to show or hide the field in Add, Edit, and View modes, so you can display a field when creating a record but hide it when viewing one, for example.
  • Sections and Tabs also have per-mode display toggles, plus headings and column counts.

By default the canvas uses Auto flow, which stacks widgets automatically. Switch to Manual in the sidebar for free positioning, with desktop, tablet, and mobile emulators to check how the layout adapts to each screen size.

Setting up rules

The Rules tab lets you add conditional logic to a form. Each rule has:

  • A When condition, built with the query builder (based on field values, the record, or the user).
  • Actions that fire when the condition is met: show, hide, require, or unrequire a field; make a field read only or editable; change a field's value; or display a message.
  • Options to apply the reverse actions when the condition isn't met, and to fire value-change actions only when the condition flips from false to true.

Rules are how you make a form adapt, for example by showing a "reason" field only when a status is set to "Rejected".

Form properties

The Properties tab holds the form-level settings:

  • Form Name (required) and Description.
  • Display core fields at bottom of form: shows "Created" and "Last modified" metadata under the form.
  • Display on Menu: adds the form to the application's navigation.
  • Redirect on Add, Redirect on Edit, and Redirect on Cancel: where the user lands after saving or cancelling. Options are Go to Referring Page (back to wherever they came from) or go to the record itself.

Preview and save

Use Preview Mode in the top bar to see the form as users will experience it, then Exit Preview Mode to return to editing. Click Save to return to the Forms list.

Which form is used

When a user opens a record, High Systems picks a form in this order:

  1. A specific form requested in the link or URL.
  2. The role's default form, if the role has one set for that table.
  3. The table's default form.

You can set the table's default form in Table Settings → Properties (under UI Settings). Role-level defaults are set in Settings → Roles → select a role → Table Permissions → choose a table. Each role can use a different form for the same table, so admins and viewers can see different layouts.

Every new table ships with a Default Form that displays the core fields and takes users to the new record after saving. Use it as-is, customize it, or build additional forms alongside it.

Using forms

When a user clicks Add on a table's dashboard, opens a form from the menu, or edits a record, they're taken to a record screen rendered from the chosen form:

  • Add and edit modes show Save and Cancel buttons. Field default values (including "now" for date fields) are pre-filled when adding a new record.
  • View mode shows the record read-only, with Close and Edit buttons.
  • The Options menu on a record offers Copy Record (opens the add screen pre-filled from the current record), Delete Record (with a confirmation), and Customize Form: a shortcut that jumps straight to the form builder for the form in use.

If another user saves a record while you're editing it, High Systems detects the conflict and asks you to type overwrite before your changes replace theirs.

Duplicating a form

To duplicate a form, click the duplicate icon in the Forms list. The copy is named "Copy of" followed by the original name, a quick way to create a variation of an existing form without starting from scratch.

Deleting a form

To delete a form, open it in the builder and click Delete. You'll need to type delete form to confirm, then you'll be returned to the Forms list.

What's next?

Forms pull their layout from the table's fields, which you manage in Table Settings:
